Move In Information:
Info for exhibitors bringing their own materials to the show and needing loading dock access, equipment and/or assistance:
Each exhibitor is assigned a day and range of time to unload display materials for their booth. It is important exhibitors arrive at their scheduled times, so the most efficient and effective use of loading docks can be made. When exhibitors ignore their scheduled move-in times and a majority opt to arrive on the last day of move-in, there will be a backup and long wait to get to the loading docks on that day. Conversely, if you wish to arrive early to set up, you need to ask in advance so we can have your booth prepared for your early arrival (to change move in time call FNGLA at 800/375-3642 or email FNGLA). People not arriving on the correct move-in day may be moved to the end of the line or may have to wait until the booth space is constructed.
Move-in assistance and equipment are provided as part of the exhibitor booth package for exhibitors bringing their own material in their own vehicles and who are on site to supervise the movement from truck to booth. The largest equipment to bring in materials will be forklifts that have a maximum lift capacity of 5,000 pounds. Anyone with excessively heavy materials should contact the decorator to determine if provided equipment can handle the material and whether the exhibitor might move in their own material using their own power equipment.
EXHIBITORS WITH LARGE TREES, PLANTS & TRUCKS
We adore all the large plants and trees exhibitors bring to display at The Landscape Show, but over the years the size and weight of some of the specimen trees has grown larger and heavier. We have gone to great lengths to provide the necessary equipment and personnel to move these beautiful specimens in and out of the show in a safe and expedient manner at no extra cost to the exhibitors. Each year, the number of trees increase, getting taller and heavier, pushing the limits of the hall, personnel and the equipment.
Exhibitors with plant material too large to be safely moved with our standard equipment can move in their own material, much like they would have to do on a jobsite. The parameters for moving in your own material are:
- Have enough equipment and personnel to safely move in the trees or palms to your booth from your vehicle.
- Have enough blocks and rope/wire to safely secure your materials so that they do not cause damage to another exhibitor’s booth.
- Provide proof of workers’ compensation and an insurance rider with the following companies additionally-insured: Florida, Nursery, Growers & Landscape Association, Inc., The Expo Group, LLC and the Orange County Convention Center. Here is a sample Certificate of Insurance.
- A spotter will be required; companies have the option of bringing an employee to watch the drivers and help them deliver the booth materials safely or they can rent a spotter from The Expo Group.
- The exhibitor assumes all liability in the case of an accident during the move in and out phase of the show.
- Exhibitors moving in their own trees must also move out their own trees. You may not leave them for us to move out.
Additionally, due to concerns related to safety, building damage and general liability, tree height limitations have been established for The Landscape Show, with palms being limited to 25’ overall height (oah) and canopy trees limited to 20’ overall height (oah).
• Exhibitors showing material requiring a crane for move in will be scheduled on Sunday.
• Exhibitors needing to use their own power equipment for move in will be scheduled on Sunday or Monday and must provide proof of workers’ compensation and a rider with the following companies additionally-insured: Florida Nursery, Growers & Landscape Association, The Expo Group LLC and the Orange County Convention Center.
• Large trucks or display items that will need special assistance to be positioned within your booth space must be delivered on Sunday, so that we can rebuild the booths around the area without additional charges to the exhibitor.
• Exhibitors with larger material or cranes that will need to be used on the show floor will be parked in dock basin and brought in up the ramps or through the elephant door. Exhibitors moving in their own material should also be prepared to move out their own trees or make arrangements with The Expo Group for their removal. Exhibitors without large trees can use the loading docks.
Exhibitors arriving after scheduled move-in hours and needing assistance will be moved in by the service contractor and charged for those services. Please notify the show office if you are unable to set up during scheduled move-in times. Please arrive prior to 2 p.m. to complete the movement of material to your booth before the close of the docks at 4:30 p.m. Any exhibitor who hasn't arrived to set up his booth by 4:30 p.m., Tuesday, August 22, 2023, will be considered a no-show and the booth(s) may be resold.
The move-in crew is equipped with hand carts, dollies and 5,000 lb. forklifts. The largest equipment to bring in materials will be forklifts that have a maximum lift capacity of 5,000 pounds. Anyone with excessively heavy materials should contact the decorator to determine if provided equipment can handle the material or whether you should bring your own equipment and furnish The Expo Group with their COI in advance. Move-in personnel are available to help you move into your booth. Please assist them with getting materials into the hall in a safe and expedient manner. The move-in crew will not be responsible for moving an exhibitor into the hall if they feel the exhibit material is too large for the supplied equipment and would pose a dangerous or unsafe situation. Do not tip any union personnel for services that they have been paid to provide. You may bring your own handcarts or dollies for move-in and out, but you may not bring any power equipment (i.e. forklifts, golf carts, Bobcats) except exhibitors with heavy materials who have submitted the appropriate paperwork.
Info for exhibitors bringing their own materials and not needing loading dock access:
If you do not need access to the loading dock, you may arrive on either Monday or Tuesday within the hours posted on the move in schedule.
Be aware the Orange County Convention Center has instituted New Pedestrian Load-In/Load-Out Procedures. Pedestrian traffic (hand carried booth materials) will require a valid ID to enter either at the Contractor Check-In doors or at the Kitchen Dock Entrance. Please park your vehicle accordingly so you walk the least possible – it will still be a long walk, it might be quicker to go to the docks and unload.
Info for exhibitors shipping their own materials to the show through a third party:
Exhibitors shipping directly via common carrier (including plant carriers) or having materials shipped via another exhibitor will have their product signed for by the service contractor who will see that it is delivered to the booth. The Expo Group will charge the exhibitor for the receiving and delivering of those materials. Contact The Expo Group directly for drayage information.

Move Out
Exhibitors needing loading dock access, equipment or assistance:
To keep move out as orderly and efficient as possible all vehicles must report to a truck marshaling area to receive a dock pass. Trucks will be called up as space is available on the docks. Approximately two weeks prior to the show, the convention center will confirm the marshaling yard. The Marshaling Yard will be located at 5900 Destination Parkway. Map to Marshaling Yard.
The move out crew will be equipped with hand carts, dollies, 5000 lb. forklifts and large equipment for tree moving. Move out crews are available to help you move materials from your booth to the loading dock. Please assist them by having material packed and ready to move when your truck is at the loading dock. Please do not tip any union personnel for services that they have been paid to provide. You may bring your own handcarts or dollies for move in and out, but you may not bring any power equipment (i.e. forklifts, canes, Bobcats) unless you have been cleared by The Expo Group and supplied the necessary insurance documentation in the case of damage.
Exhibitors who do not need loading dock access:
You may carry items from the exhibit hall to vehicles parked in the parking lots.
Exhibitors shipping their materials from the show through a third party:
Contact The Expo Group for rates for shipping or visit their web site http://www.theexpogroup.com for additional information. You may also check in with the The Expo Group Service Desk at the show and they will assist with outbound freight shipments.
Exhibitors selling or donating booth materials:
If you sell or give your booth away, it is very important that the buyer or recipient understand the move out process and have a receipt for the material. You will be given printed move out instructions at the show which you should give to the buyer – you may send them to The Expo Group for a replacement copy. Most exhibitors print a receipt for booth buyers, but paper receipts are available in the show office, which you should complete and give to the buyer for proof of purchase during move out. Exhibitors moving in their own trees and booth materials should also move out the same trees for move out. The Expo Group can store a loader with their equipment if you need to leave it at the hall for move out.
Booth Donations
Booth donations are being accepted by local charitable landscape. They will not be able to use any hardgoods or palms/trees that are for hardiness zone 10. A donation form is on the dashboard (will also be placed in your booth). Simply complete the form and turn it in online or to the show office by 4 p.m. on Thursday, August 24.
Dismantling Of Booths
Move out will begin at 2 p.m. on the final day of the show. ABSOLUTELY NO EXHIBITS ARE TO BE DISMANTLED NOR MAY ANY PLANT MATERIAL BE TAKEN FROM THE EXHIBIT HALL PRIOR TO 2 P.M. Exhibitors dismantling booths prior to 2 p.m. risk cancellation for next year’s show. All exhibits must be out of the exhibit hall by 11 p.m. on Friday. Any remaining exhibits will be dismantled by The Expo Group at the exhibitor's expense.
General Information
Children
Orange County Convention Center has a safety policy that does not permit children under the age of 16 to be on the exhibit floor during move in or move out. Security personnel will direct parents to remove children from the exhibit hall during move in and move out.
Move-In/Move-Out Personnel
Please make sure you have adequate people to manage your delivery, set up, tear down and loading during move in and move out. It is not reasonable to think that one person can tear down a booth, be in line to get to the loading dock and provide security at the booth during the break of the show.
Hall Security
The Orange County Convention Center is a government facility and you may be asked for identification anywhere on the grounds. Please be sure that you bring a valid US-issued identification card, passport or driver’s license to The Landscape Show to expedite security checks. You will be required to wear a show badge at all times within the convention center.
Food Service
The concessionaire at the Orange County Convention Center has the exclusive contract for all food sold in the halls. To serve food or drinks from your booth, simply contact Centerplate at 407-685-5562 or go to www.centerplate.com and download menus. During move in, food selection is limited to a sandwich truck that travels around the building.
Smoking
No smoking will be allowed within the exhibit or in the dock basin. The designated smoking area is outside of the building near the parking lot.
